2. Which tool for which task?
Choose the tool by task, not by brand: each one has different strengths.
| Task | Tool | Why |
|---|---|---|
| Long-form writing (memos, proposals, reports) | The one you have configured with your context (in my case, Claude) | Honestly, I use Claude for long texts because it is the tool I use most and the one I have configured best: it knows my context, my tone and my criteria. That is the lesson: the best tool for writing is often the one you have configured with your context, more than the one that wins the comparisons. |
| Analyzing long documents (contracts, reports) | In my case, Claude | I use Claude to analyze research reports on AI, such as those published by McKinsey: in a few minutes I get the key figures, the conclusions and what they mean for an executive, and I go back to the original document to check what I am going to quote. |
| Searching for information on the web | ChatGPT or Gemini | They are effective for that, and it lets me save my Claude subscription's usage limits for the tasks where I get the most out of it. |
| Working inside Gmail, Docs and Meet | Gemini | It is built into the Google apps the team already uses, depending on the Workspace plan. |
| Recurring tasks and automation | Depending on the environment: scheduled tasks in ChatGPT or Claude, or n8n to connect several tools | I built an assistant with n8n on Telegram that I send a photo of an expense receipt to. The AI (GPT-4o, by OpenAI) reads the amount, the date and the description, and logs them in a spreadsheet. No code written, and I use it every month to prepare my accounts. |
| Cross-checking an important answer | All three | Comparing two answers helps catch errors. |
3. The environment factor
In a company, the tool that is already part of the team's daily work often counts for more than the raw quality of the model.
If the team works in Google Workspace, Gemini is already inside Gmail and, depending on the plan, Docs and Meet: adoption is simpler and the team works without leaving its usual tools. If the team mainly needs to write and analyze long documents, Claude Team is a solid option, with shared projects and no training on your content by default. If the team already uses ChatGPT individually, moving to ChatGPT Business brings order to that usage: centralized administration and, by default, no training on company data.
If your company works in Microsoft 365, Copilot is a natural option. I do not include it in this comparison because I do not use it daily, and I only recommend what I practice.
4. Confidentiality and data
For internal information or client data, I recommend a business plan approved by the company, with reviewed settings and data limited to what is necessary.
In the individual plans of Claude and ChatGPT, whether your conversations are used to train the models depends on an opt-out setting you need to check. On Claude Team and ChatGPT Business, the providers state that company content is not used to train the models by default. With Google Workspace, Google states that content and prompts are not used to train generative AI models outside your domain without your permission. In personal Gemini accounts, everything depends on the "Keep Activity" setting; whether a Google AI subscription changes these terms is not confirmed in the official documentation consulted.
The fact that a provider does not use your data to train its models does not, on its own, guarantee that you may share it: if there is personal data, the GDPR also applies, and a confidential document stays confidential. The details are in Is it safe to use AI with company data?
For law firms and advisory firms, professional ethics rules add their own requirements: I explain them on the AI for professional firms page.
5. How I split the tools
I use all three every day, and each one has its role: splitting tasks across tools is also part of the method.
| Tool | What I use it for |
|---|---|
| Claude (at the center of my work) | Long texts, report analysis, configured projects (for example, my LinkedIn posts) |
| ChatGPT and Gemini | Web research, cross-checking answers |
| n8n with GPT-4o | Automations that run on their own (for example, logging expense receipts) |

6. Frequently asked questions
Can you combine several tools?
Yes, and that is what I do every day. What matters is that the team has clear rules on which data goes into each tool.
Which plan for a team of 5?
A business plan from the tool that best fits your environment: Claude Team, ChatGPT Business or Google Workspace with Gemini. Individual plans do not offer the management features or data guarantees of business plans.
Is my data used to train the models?
In the individual plans of Claude and ChatGPT, it depends on the opt-out setting; in personal Gemini accounts, on the "Keep Activity" setting. On Claude Team, ChatGPT Business and Google Workspace, not by default, according to the providers.
Which tool for a law firm?
One that offers a business plan with clear data terms and a data processing agreement with the provider. The details are in AI for professional firms and in Is it safe to use AI with company data?
How often is this comparison updated?
Every quarter, and sooner if prices or data terms change. The date of the last check is shown at the top.
Next update planned: January 2027.
